Administrative Clerk - Invoicing - Kingston, Ontario Branch Location
Responsible for the initiating and coordinating of the clerical, secretarial and administrative functions for the Kingston Service Group .
KEY RESPONSIBILITIES AND/OR SERVICES PROVIDED
Performs variety of clerical and administrative duties using a variety of different systems or procedures
Invoicing
Sets up and maintain new/old customers in system and files
Maintains up to date records of all technician licenses and permits
Maintains filing systems, indices and directories
Types correspondence, contracts, quotes
Performs typing and transaction duties as required
Tabulates and posts data in record books
Operates office equipment and machinery such as computing equipment, fax equipment, photocopy equipment
Performs miscellaneous photocopy, filing, mailing duties as required
Opens, routes and direct incoming mail
Sorts and directs incoming faxes
Answers routine correspondence and prepares outgoing mail
Arranges for outgoing mail distribution
Performs filing, faxing and prepares memos, emails and letters as directed including the filing of departmental weekly reports
Operates personal computer to access email and other basic office support software
Uses various software applications to assemble, manipulate and/or format data and/or reports
Performs such other and reasonable duties, backup or responsibilities as may be required to effectively support the organization
Ensures responsibilities and accountabilities are carried out in a safe manner in accordance with E.S.Fox Ltd. safety policy/procedures, ISO 18001 standards and OHSA requirements.
Ensures that environmental aspects within his/her sphere of responsibility are adhered to pursuant to ISO 14001 requirements.

WELDING SUPERVISOR
SUMMARY OF ROLE
Provides in-house welding support for the Company in regard to the application and interpretation of codes, processes and practices affecting welding, fabrication and quality assurance activities of the company as well as provide
KEY RESPONSIBILITIES AND/OR SERVICES PROVIDED
Responsible for ensuring welding procedures and policies are generated, current and adhered to
Supervises welding lead hands and oversees welding processes to effect productivity improvements in all aspects of fabrication in association with the welding engineer.
Monitors all projects using all available reporting systems and be fully informed as to their status.
Ensures that all project supervisors, coordinators, project managers and foremen understand and utilize the Company Q.A/Q.C. and welding procedures issued. Monitors all projects using all available reporting systems.
Maintains full and complete communication to ensure that information is freely communicated on all matters.
Cooperates with other Supervision within the Branch and Company to promote harmony in the best interests of the Company.
Responsible for maintaining and improving the Fab facilitys welding capability
Participates in sales efforts where Welding knowledge/expertise is required to secure new customers and work.
Carefully monitors all labour, material and equipment expenditures.
Assists in the testing and evaluating of welding equipment, metals and alloys
Recommends adoption of new developments and applications to engineering, Q.A. and welding personnel and demonstrates the practicality of recommendations
Makes recommendations based on sound welding principles, practices and judgment pertaining to specific welding problems as a contribution to the overall fabrication division objectives
Provides technical support for shop personnel.
May participate in customer meetings as Company technical resource.
Maintains awareness of engineering, fabrication and construction technological developments, and evolving field practices.
Reviews specification and drawings for correct weld joint detail and correct weld
Performs estimates for weld electrode quantities and prepares procedure identification requisitions for the purchase of welding consumables
Ensures responsibilities and accountabilities are carried out in a safe manner in accordance with E.S.Fox Ltd. safety policy/procedures, ISO 18001 standards and OHSA requirements.
Ensures that environmental aspects within his/her sphere of responsibility are adhered to pursuant to ISO 14001 requirements.
PERFORMANCE CRITERIA
1. Maintains up to date knowledge and awareness of current market conditions affecting the cost of fabrication
2. Maintains knowledge of contract laws and obligations, material specifications and scheduling
3. Ensures compliance with contractual obligations
4. Ensures the E.S. Fox Ltd. safety policy and OHSA guidelines are followed
5. Monitors and Ensures Quality
Education & Knowledge Requirements:
Technologist Diploma in Mechanical or Manufacturing Engineering or equivalent relevant experience
Familiar with Q.A. Standards, ASME Standards, CSA, ISO Procedures and other relevant Q.A. Standards
Certified welding supervisor or inspector would be an asset
Project management training and experience would be beneficial.
Experience Requirement:
Experience in welding techniques in a fabrication environment
Experience with custom steel, metal, fabrication and piping code requirements
Experience in or knowledge of fabricating, welding and finishing of carbon steel, stainless steel and aluminum materials

HVAC SALES COORDINATOR/ESTIMATOR (KINGSTON)
SUMMARY OF ROLE
Responsible for the centralizing the project estimating and managmeent and will establish critical alliances with local suppliers as well as be the liaison between Service and Construction in support of their projects including the ability to price, administer, negotiate and analyze the various stages of construction
KEY RESPONSIBILITIES AND/OR SERVICES PROVIDED
Reviews bid packages to determine resources required to complete request for quotation
Provides estimate for HVAC installations and/or repairs in support of Service Clients
Coordinates Service Department's role in Construction Department projects including the sourcing and ordering of parts
Reviews bid documents and determine which sub contractors need to be involved in the completion of the bid
Oversees small job implementation from start to finish
Carries out directed service sales calls at potential client locations
Helps Service Manager in the preparation of responses to "Requests for Proposals" when necessary
Develops overall project schedules and oversees the successful execution of projects
Prepares detailed bid packages for applicable trades and subcontractors for their use in preparing supporting quotations
Assembles pricing
Assesses cost of rentals, tools, equipment, non-productive labour and determine average labour rate
Coordinates of tender proposal requirements, including
Review of terms and conditions
bonding and insurance requirements
Tender breakdown requirements
Organization charts and resumes
Company experience
Craft rates and mark-ups for additional work

Project Manager - Thunder Bay, Ontario
REPORTS TO : Area Manager
SUMMARY OF ROLE
Project Coordinator/Estimator is responsible for the administration of contracts and contractual obligations including those relating to subcontractors, contract changes, order changes, drawings, material requisitions.
KEY RESPONSIBILITIES AND/OR SERVICES PROVIDED
Project Coordination Responsibilities
· Develops overall project schedules and oversee the maintenance, progress, and issuance of schedule
· Understands and administers the contractual agreements between E.S.Fox Ltd. and the owner and ensure we conform to the contract documents
· Ensures the project is executed in a safe manner following the E.S.Fox Ltd. safety policy and OSHA guidelines
· Develops or oversees the development of all project requisitions and works with the central purchasing group to obtain all material in accordance with project schedules
· Understands job costing and tracking reports, i.e. dollars, hours, schedule, etc.
· Assembles estimates for projects and project extras
Estimating Responsibilities
· Reviews bid packages
· Ensures tender scope is being fully accounted for in the most cost efficient manner
· Coordinates of tender proposal requirements
· Assembles final estimate and pricing and review with area managers and senior company officials
· Posts tender activities
· Coordinates of maintenance and upgrading of computerized estimating systems
KNOWLEDGE AND EDUCATION REQUIREMENTS
· Professional Certification in Project Management through CCA Gold Seal Program
· Bachelors Degree in Engineering or Related Field would be an Asset
· Community College Technologist/Technician Diploma and/or
· Demonstrated Understanding of Project Management Software (MS Project, Primavera etc.)
SPECIFIC WORK RELATED EXPERIENCE/SKILLS
· 6 10 years of direct Construction (mechanical) Industry experience including estimating, scheduling and/or purchasing
· 5 Years Experience as a Project Coordinator and/or Project Manager
